How extended stay works

Registration & signing

Hand the iPad across the desk.

Four steps in the guest's own hands: confirm the details, photograph the ID, read and accept each policy separately, and sign. The signature is stored with a versioned statement of intent, and a fingerprint of the exact policy wording the guest saw is kept with the acknowledgment.

A guest who registers on paper is recorded the same way, so the record is complete either way.

The night audit is something a person starts when the desk is quiet, not a job that runs behind your back. A pre-check tells you what would stop the run before you start it. One run posts the night's room charges, renews and expires agreements, posts recurring charges that fall due, raises resident invoices, marks what is overdue, records the day's totals and moves the business date on.

A second click cannot double-post: the close is recorded against the date it closed and every posting carries its own key.

Security & operations

Guest records deserve a locked door.

A property management system holds identity documents, signatures and card receipts. These are the controls GuestPad ships with, not a roadmap.

  • Two-step verification

    Authenticator-app codes with single-use recovery codes. An owner can require it of admins or of everyone, and the requirement is checked on every request, not only at sign-in.

  • Roles and permissions

    10 built-in roles, from receptionist to general manager, assembled from 57 individual permissions such as refunding a payment or seeing a guest’s ID. Enforced on the server, never only hidden in the screen.

  • An append-only audit log

    Who did what, to which record, from where. The database itself refuses to update or delete an audit row, and an administrator can read the log inside the app.

  • One hotel cannot see another

    Every table carries a row-level security policy keyed to the organization, and the database role GuestPad connects as is not allowed to bypass them. The API refuses to start if it finds that it could.

  • Encrypted database connections

    In production GuestPad refuses to start unless it can reach the database over TLS, and the database has no public address at all.

  • Card numbers never reach us

    Cards are typed into Stripe’s own hosted fields, on your hotel’s Stripe account. GuestPad’s servers and database never see or store a card number, and a 3-D Secure challenge is completed in the guest’s browser.

  • Retention you set

    You choose how long a photo ID is kept — 90 days unless you change it — and how long registration records are kept. A daily job deletes the files when the window closes and records that it did.

Questions

The things hotels ask first.

Do I need a card to start?

No. Every trial runs for 14 days on Pro with no card. Choose a plan before it ends to carry on; if you don't, the trial expires and nothing is charged.

Does GuestPad take a cut of my room revenue?

No. You pay a flat monthly or yearly subscription and nothing per booking. Guest card payments are taken on your hotel's own Stripe account, so the money settles to you and refunds come from you.

Is GuestPad a channel manager?

Not yet, and we would rather say so. Connectors for the online travel agencies, metasearch, channel managers and CRMs listed under Connections are written into GuestPad, but most of them need the partner to certify our connection before a property can switch it on. Ask us where a particular one stands.

Your own booking page and guest portal work today, from Pro upwards, and signed outbound webhooks come with Ultra for connecting your other tools.

How do my guests get to their booking?

Through your property's own portal address, not a GuestPad login. Guests sign in with a code emailed to them, or with their confirmation number and surname. How guests find a booking explains it, with a live example.

Can more than one person use it at once?

Yes. GuestPad is built for a team: each person has their own sign-in and one of 10 built-in roles that decides what they can see and do, from a receptionist to the general manager. Each plan sets how many users and rooms it covers.

Can I cancel?

Yes. A monthly plan can be set to stop at the end of the period it has been paid for. An annual plan runs to the end of its term — that commitment is what the 20% discount pays for — and can be set not to renew at any time.
